The business management software market for SMEs has an elitism problem. The well-known ERPs — SAP Business One, Sage, Odoo with professional implementation — have prices and implementation complexities designed for companies that can afford a project lasting several months and a budget of five or six figures. The cheaper solutions — simple invoicing and accounting tools — do one or two things well but do not integrate the company’s processes.
In that space, there is a piece of software that has been in active development for more than fifteen years, has a large community of users and developers, is in production in tens of thousands of companies around the world, and is completely free. And yet, in Spain, most SME business owners have never heard of it.
It’s called Dolibarr.
What Dolibarr is and what it does
Dolibarr is an open source ERP and CRM. This means the software is free and the source code is public, which allows anyone to download, install and use it without paying licences, and lets developers from around the world contribute to improving it and build extensions for it.
What Dolibarr does: client and supplier management, invoicing and quotes, order and delivery note management, stock and inventory control, basic accounting with fiscal report generation, project and task management, basic employee and human resources management, point of sale, and a module system that lets you activate only the functionality you need.
What it does not do particularly well: the user interface is not the most modern or the most intuitive. The initial learning curve can be frustrating for users with no prior ERP experience. Some specialist modules require technical configuration that is beyond a user without knowledge. For complex manufacturing processes or highly specific integrations, it may require custom development.
The financial argument that is impossible to ignore
Dolibarr has no licence cost. It has an implementation cost — someone has to install it, configure it and adapt the modules to the company’s processes — and it has a maintenance cost — updates, support, possible specific developments.
Compared with the alternatives:
A conventional ERP for an SME carries licence costs of between one hundred and five hundred euros per user per month, plus implementation costs. For a ten-user business, that is between twelve thousand and sixty thousand euros a year in licences alone.
With Dolibarr, the licence cost is zero. The cost of professional implementation is between two thousand and eight thousand euros depending on complexity. The annual maintenance cost — if external support is contracted — is between five hundred and two thousand euros.
For a company that will use the system for five years, the economic difference can be one hundred thousand euros or more.
Who should seriously consider Dolibarr
Dolibarr makes most sense for businesses that need to integrate several business processes into a single system — sales, purchasing, stock, invoicing — but don’t have the budget or the justification for a mid-range or high-end ERP.
It is especially good for professional services companies that manage projects and bill by the hour or by project, for distributors and wholesalers that need stock control and order management, for small industrial companies with straightforward manufacturing needs, and for any business that wants all its management in one place without paying monthly licence fees.
It is not the best option for companies with very complex manufacturing processes, for companies that need specific integrations with sector-specific systems that have no connector for Dolibarr, or for companies where the management team places great importance on having a modern interface and guaranteed first-rate support.
Dolibarr and artificial intelligence: where it gets interesting
