Tickets pile up and the team burns out
Inbox with 200 unread tickets. First response time of 36h. Customers leaving because responses arrive too late. Support team turning over every 6 months due to burnout. Manual email support no longer scales beyond 50 tickets/day.
An AI system that classifies, drafts replies and escalates complex cases transforms your support. The human doesn’t disappear — they move from writing to reviewing, and handle 3-4x more volume with less burnout.
How we built it
1. Integration with your helpdesk
Zendesk, Freshdesk, Intercom, HelpScout, Front. The system is set up wherever you already manage tickets. No tool changes, no history migration.
2. Automatic classification
Each incoming ticket goes through Claude and is tagged: query type (billing, technical, commercial), urgency, customer sentiment, language. It is routed to the correct team without human intervention.
3. Draft writer
For common ticket types (FAQs, known issues), the system generates a draft response based on your knowledge base. The agent reviews, adjusts, sends. From 5 minutes per ticket to 30 seconds.
4. Escalation rules
Ambiguous or complex tickets, or those from an unhappy client, are flagged for direct human review, with no automatic draft. The system recognises its limits.
What changes when this works
- Average first response time: from 24h to 1-3h.
- Tickets resolved per agent: x3-4.
- Backlog that no longer grows — the team closes faster than tickets come in.
- Quality data: consistent classification for real reporting.
What we do NOT automate without supervision
Refunds, cancellations with conditions, formal complaints, legal cases, press contacts. Any ticket that could generate conflict if the response is wrong. These always go to a human with a summarised context.
When we do NOT recommend this
- If your volume is low (<50 tickets/month): the setup isn’t worth it.
- If each ticket is radically unique (bespoke consultancy, legal cases): there are no patterns to automate.
- If your knowledge base is a mess: the system inherits the mess. You need to organise the KB first.
Stack we use
- Claude 4.5 for classification and drafting.
- Zendesk / Freshdesk / Intercom API direct.
- Vector DB on your KB for retrieval.
- n8n self-hosted for triggers.
We start with a diagnostic session
Before quoting the full setup we run a 90-minute session. We look together at your real ticket volume, your current helpdesk and your existing knowledge base, and we leave with an honest recommendation: whether this service fits where you are right now, or whether it makes sense to start with something else.
We don’t charge for that session. If you’re interested, get in touch.
