Your chatbot sounds like a robot. People notice.
Classic chatbots ask the same questions on a loop, miss context, and escalate to a human at the first sign of nuance. The customer leaves frustrated and your support team handles the same cases the bot should have resolved.
A chatbot with your tone, connected to your CRM and your database, responds as your best agent would. It only escalates when necessary — not by default.
How we build it
1. Brand tone capture
We audit how your brand speaks: emails that have worked, social media responses, real FAQs. We build a voice profile that the model uses in every response. It’s not ChatGPT with your logo.
2. Setup on the channels you use
WhatsApp Business, Telegram, web (widget), Instagram DMs, email. Wherever your client is, that’s where the bot goes. A single centralised knowledge base, deployed across every channel.
3. Integration with your CRM and database
The bot can check: order status, invoice, next appointment, availability. It does not reply “I don’t have that information” — it searches your system and delivers it.
4. Intelligent human hand-off
When the bot detects that a case requires a human (urgency, complaint, churn intent, complexity), it passes the conversation to your team with a full summary of the context. The human does not start from scratch.
What changes when this works
- 70-85% of queries resolved without a human.
- Average customer response time: seconds instead of hours.
- Your support team handles the cases that genuinely need them.
- The bot scales with your volume — Black Friday and a normal week weigh the same.
When we do NOT recommend this
- If your business requires long, empathetic conversations (mental health, therapy, complex legal advice).
- If your volume is low (<50 queries/month): implementation is not worth it.
- If your database is a mess (contradictory information across systems): the bot will inherit the mess.
What the bot doesn’t invent
If the bot does not know the answer, it says “I don’t know, let me pass you to a person”. It never hallucinates prices, timelines or policies. The system is configured to prefer escalating over making things up.
Stack we use
- Claude 4.5 as the main model.
- Twilio for WhatsApp Business API.
- Intercom / Crisp / Tidio for web widget depending on preference.
- Vector DB (Supabase pgvector) for the knowledge base.
We start with a diagnostic session
Before quoting the full setup, we run a 90-minute session. We look together at your current query volume, your active channels and your existing knowledge base, and we come away with an honest recommendation: whether this service fits your current situation, or whether it makes more sense to start with something else.
We don’t charge for that session. If you’re interested, get in touch.
